Guidelines

To ensure the safe handling and return of your materials, please follow the submission guidelines.  Every effort will be made to review materials within 10 weeks of receipt. If you have not been contacted or materials have not been returned to you by November 1, 2004, please contact the Alta Concepts Creative Department.  Images selected for calendar production will be held as late as September 1, 2004.

Payment: For calendars featuring the images of multiple photographers, Alta Concepts pays a single-use fee for the image “upon publication,” which occurs around January 2005.  For fees that total more than $ 500, payments are made in two equal installments in February and July. Payments for single-photographer titles are negotiated individually.

Artwork/Design Submission Guidelines

To submit artwork for review, please send non-returnable tear sheets or color copies of your work with accompanying artist credentials, applicable market trends, and licensing information. If you wish us to return your materials, include a self-addressed envelope with postage. If selected, we will request original transparencies or digital files of your work.

Photography Submission Guidelines

Large Format Transparencies are preferred. However, 35mm and 8" x 10" format transparencies are acceptable.  CDs of images and light boxes are preferred for review purposes. Categorize all images submitted on CDs for easy viewing (only 60 per category). If images are selected, we will then request reproduction-size high-resolution images. Only Original transparencies will be used for final production. Duplicates are acceptable for review purposes only with Original transparencies required for final production. Prints are not accepted.  Submission categories must be clearly labeled.

For 35mm slides, it is recommended that “Kimac” or similar individual acetate slide sleeves be used for each slide prior to placement in slide pages. Please do not use glass slide mounts, they are often damaged in transit.

Enclose 120mm and larger transparencies in individual protective sleeves prior to placement in protective pages. 

Do not send uncut strips of film or prints.

Please identify individual transparencies on the front only with the following:    

• Photographer Name, and if not the same, the name of the person submitting the image on behalf of the photographer.

• The initials TL on the upper right corner of the mount or photo sleeve to indicate the correct orientation of the image for printing.  Avalanche cannot guarantee correct image orientation at print if image is not labeled correctly.

• Indicate whether the image was an original or a duplicate by printing the word “original” or “duplicate” on the individual sleeve.   

• An accurate credit, listing any and all copyrights, trademarks or registered marks.  Please note that filing a copyright claim with the Library of Congress is the responsibility of the artist. The proper format for listing copyrights etc. is; year of first publication, photographer, name/agent (optional). See following example:

• Please include a letter with your submission that lists:

•  your name

•  mailing address

• shipping address (no P.O. boxes!)

•  phone #

• fax number

• e-mail

•  website (if available).

• Please also include a listing of the images sent and the quantity.

• Shipping charges of all submissions from the artist/photographer to Alta Concepts are the responsibility of the artist/photographer.

• Upon request, submissions from the US will be returned  at artist/photographer’s expense by Alta Concepts via UPS standard ground delivery.  An actual street address is necessary for returns. P.O. Boxes are NOT accepted.   

• Upon request, non-U.S. submissions will be returned at artist/photographer’s expense via Federal Express.
